ClubNite One-stars to shooting stars

Makes a self-contained judging file for each judge, then combines their scores. Nothing is uploaded anywhere; everything stays on this computer.

What would you like to do?

On the night Before club night

Round details

These appear on the judge's screen and in the results.

Checked only when the CSV has a member or author column. Members' names are never sent to the judges.

Categories

The judge sees the photos grouped by category, in this order, with each category's description before its first photo. Tick categories where no manipulation is allowed. These settings are remembered on this computer.

Photos and entry list

Drop the round's photos (JPEG or PNG) and the entries CSV from Photovault Online. Photos are resized to 1920 px for screen judging.

Judges' score files

Drop the score files the judges sent back (usually three). They are combined by entry.

Compare the club panel with the senior panel

For shadow judging: both panels score the same judging file. Drop each panel's score files in its own box. Scores are compared per judge (out of 15), so the panels may have a different number of judges. Photos a shadow judge skipped (for example their own entries) are left out of the comparison.

Club night: show the results

Drop the round's photos, the Photovault Online entries CSV and the senior judges' score files, all together. The show runs full screen on the projector: each photo first, then its score, award and comments on a click. No scoring boxes needed.

Opening slides

Shown before the first category. You can fill these in any time, even before the photos and scores are ready. Type one item per line; any box left empty is skipped. These boxes are remembered on this laptop, so next month you only update what changed.

Year planner: birthdays and refreshments

Drop the ClubNite year planner (Excel or CSV) once a year. Each month ClubNite fills in the birthdays since the last club night and who brings the refreshments. You can still change both boxes by hand. Download a blank year planner

Treasurer's report

One slide after the notices, before the photos. Numbers only, no names. Leave everything empty to skip it.

Salon successes

Members' photos that earned acceptances or certificates of merit at national salons and PSSA competitions. Shown after the treasurer's report: acceptances first, then certificates of merit. The photos stay on this laptop until you remove them, so you can prepare them days ahead.
Tip: name the photo files Member - Title.jpg (or Salon - Member - Title.jpg) and the boxes fill themselves.

The judges' thank-you slide comes at the end of the show, after the winners, so the judges are only revealed once the results are in.

Each round

  1. Build: fill in the round details, drop the photos and the Photovault Online CSV, check the entry list, and click Create judging file.
  2. Send that one file to each judge (email, WeTransfer or Google Drive). It works offline in any browser, on a computer or tablet.
  3. Judges open it, check their screen on the grey scale, score every photo 1–15 with a comment, and click Download my scores. Their work is saved as they go.
  4. Combine: drop the score files they send back on tab 2 and download the results.
  5. Club night: on tab 4, drop the photos, the entries CSV and the senior judges' score files, and click Start the show. Press R for the comment reader's window. Download the Photovault Online upload from the same tab.
  6. Shadow judging (optional): send the same judging file to the club panel, then drop both panels' score files on tab 3 to see where they agree and differ. Only the senior panel's scores count for the competition.

Good to know

  1. Every judge sees each photo the same way: fitted to the screen on a dark background, with a 100% view for checking sharpness.
  2. Each judge has their own copy, so judging is blind.
  3. A round of about 40 photos makes a file of roughly 10–15 MB. Large rounds are better sent by WeTransfer or Google Drive than by WhatsApp.
  4. Keep this builder file somewhere safe; any club member can use it.
